1. Who we are
AVA (“we”, “us”) is an internal workplace voice assistant that lets employees ask questions and hear spoken answers grounded in knowledge uploaded by their company leaders (“bosses”). This policy explains what information we process and why.

2. Information we collect
Depending on your role, we may process:
- Account data — email address and authentication credentials managed through our identity provider (email/password sign-in).
- Company profile data — company name and related organization details you enter during onboarding.
- Boss profile data — display name, title, bio, avatar image, optional voice sample, and media used to present the boss persona.
- Knowledge content — documents and text files uploaded by a boss (for example `.txt`, `.pdf`, `.md`) so the assistant can answer from that corpus only.
- Invites and membership — employee email addresses used to invite or remove people from a company/boss relationship.
- Voice interactions — speech captured on your device for recognition, the resulting text transcript sent to our cloud API, and spoken replies generated for playback.
- Technical logs — limited operational logs needed to run, secure, and troubleshoot the service (for example request timing and error signals), not used for advertising.
3. How we use information
- Authenticate users and enforce company / boss access boundaries.
- Index uploaded knowledge and retrieve relevant passages to answer employee questions.
- Generate spoken answers (and refuse when the knowledge base does not support an answer).
- Operate invites, membership, and admin tools.
- Maintain security, reliability, and abuse prevention.
We do not sell personal information. We do not use employee questions to train public advertising models.
4. On-device vs cloud processing
Speech recognition, text-to-speech, and avatar playback primarily run on your device. Authentication, tenancy, knowledge storage, retrieval, and answer generation run on our cloud infrastructure (hosted on Cloudflare). Transcripts and related request data are sent over HTTPS with your signed-in session token.
5. Sharing
We share data only as needed to operate AVA:
- Infrastructure providers that host auth, storage, compute, and related services under our configuration.
- Within your company — bosses and authorized admins manage company content and membership; employees see only bosses they are invited to.
- Legal requirements — if required by law or to protect users and the service.
6. Retention
Account, company, boss profile, knowledge, and membership data are kept while your organization uses AVA and until deleted by an authorized admin or upon verified deletion requests, subject to legal retention needs. Operational logs are retained only as long as needed for security and reliability.
7. Security
We use industry-standard controls appropriate to a multi-tenant workplace product, including encrypted transport (HTTPS), server-side token verification, and access rules so one boss’s knowledge is not exposed to unauthorized users. No method of transmission or storage is 100% secure.
8. Your choices and rights
Subject to applicable law, you may request to:
- Access or correct account and profile information.
- Ask your company admin to remove knowledge or membership.
- Request deletion of your AVA account and associated personal data — see Delete your AVA account for steps, timelines, and what is deleted or retained.

9. Children’s privacy
AVA is intended for workplace use by adults. We do not knowingly collect personal information from children.
10. International processing
Data may be processed in regions where our cloud providers operate. By using AVA, you understand that processing may occur outside your local country, with safeguards appropriate to the service.
11. Changes
We may update this policy as the product evolves. The “Last updated” date at the top will change when we do. Continued use after an update means you accept the revised policy.
